LongRidge PTA Budget Meeting
Tuesday October 18, 2006
Start of Meeting: 6:02 p.m.
PRESENT:
JoAnne and Don Regnet, Sue Streicher, Ken Kaleta, Christine Sturgis, Vicky Pelcher, Cindy Mizerny, Cheryl Moore, Stacey Vantyne, Nicole Wenzler, Cathy & Ken Westveer, Jennifer Brown, Sue Daggs, & Erika Zobel-DeRue

ANNOUNCEMENTS:
This was a lighter than expected turnout - in part due to the reminder to parents was not sent out. Typically the reminder to parents regarding the monthly meetings will go out the Friday before the Wednesday meeting. Cheryl Moore will be helping out in doing this. THANK YOU CHERYL!
PRINCIPAL'S REPORT:
- Sue thanked the PTA for the Opening Day Luncheon for the teachers and staff. It was deeply appreciated.
- The Board of Education did re-approve the funding for two functions - 1) PROJECT ADEPT and 2) Aware of Young Audiences. Both of these address bringing cultural education through a variety of methods to children. Sue will need to check with Ms. Petrie as to if any scheduling or funding has already been committed to the Cultural Arts program., otherwise funding for those events most likely will be through these reapproved funding items vs. the PTA budget.
MEMBERSHIP:
Vicky announced that we are up to 110 members. She is expecting more individuals to join at the Fall Harvest event as there will be a table set up in the entrance way to encourage signing up. The raffle for those signing up then will be to Hokums. In regards to our goal of 100% membership from eligible staff, we need 7 more teachers to join.
TREASURER'S REPORT:
- Ken notified us that there was a discrepancy in the budget of $75.00. The President and treasurer will sit down to review the budget to determine the origin of the discrepancy as well as to prepare to submit our taxes for the July 2005 - June 2006 year.
- There is still an outstanding bill for the Agendas that are given to the older students but was unable to pay as there was no physical bill to submit. CHRISTINE will check into finding the bill. THANK YOU CHRISTINE.
- Also an upcoming bill is the insurance payment that is due.
- There is an official website for the PTA that is being set up, Ken will bring the website address. This will be helpful as forms are able to be downloaded - including the Expense/Reimbursement form and Funds Receipt form.
TEACHER LIASON REPORT:
Nancy Gross was not present at meeting but Sue indicated that the teachers have been thrilled with the mini grants amounts and the quality of field trips this will allow them to go on. Sue has a list of proposed field trips from all the grades, should any one wish to review.
COMMITTEE REPORTS:
- Fall Fundraiser
- Per Chris Sturgis - She has a total amount of $23,267.00 that was raised through the fall fund raiser. This is a large increase over last years total. As part of the fund raising event, each grade will receive 1 gift certificate from Toys R Us in a drawing. THANK YOU CHRIS for the hard work you put into this.
- Picture Day - October 24th
- Per Stacey Vantyne picture day is well in hand. She has 13 people who will be volunteering.
- It will be held in the library. The librarians on that day will be going to the classes.
- Fliers will be going out on Friday for parents to order pictures. The photographic company this is through does not want fliers sent out to early as they do not want the parents to forget.
- She does need to speak to the custodians regarding the Breakfast and Lunch buffet.

- Fall Harvest
- Per Nicole - this is coming along well. She has volunteers lined up but could still use a little more help.
- There will be many fun events - including a DJ, face painting, balloon animals, Mommy wrap etc.
- Stacey will pre-check out the camera from Mrs. Cannon so that she can take pictures
- JoAnne stated that there have been 3 consistent people who man the check in table who have already offered to do the job this year.
- Nicole will contact parents who volunteered prior to the event.
- Thank You NICOLE for your great organizational skills!
NEW BUSINESS:
- Digital Recorder
- Nicole Wenzler proposed that the PTA purchase a digital recorder as an assistive device to help the secretary record the meetings. There was some discussion on this and a motion was submitted by Don Regnet and seconded by Stacey Vantyne to purchase the recorder. Motion passed. The recorder will be purchased by Chris Sturgis through her company vendor.
- Class Field Trips
- It was brought to the attention of the PTA by Sue that the planned 2nd grade field trip will be short by $200.00. It was asked if the PTA could supplement their field trip budget by $200.00
- Discussion was centered around whether or not this would set a precedent for the other grades and for the future.
- Sue reviewed all the proposed field trips per grade, there are no other expected requests for money for field trips this year.
- A motion was submitted by Ken Kaleta and seconded by Nicole Wensler to approve an additional $200.00 to the second grade for their field trip. Motion passed.
- Boxtops for Education
- 5th graders continue to do well with assistance from Mrs. Alley. The first set of box tops will go out in January.
- Campbell Soup Labels
- Pat Traugott (Secretary) and Aaron Regnet are working on compiling the Campbell Soup labels. JoAnne shared that at this point all that is required is the UPC codes off the labels.
- To assist people willing to donate labels, the PTA will put together a flier with a list of what acceptable items are able to be submitted. Cheryl Moore and Joanne Regnet will get the flier out.
- Taxes
- November 15th is the Tax deadline for PTA submission. Ken Kaleta and JoAnne Regnet will set up a time with Ann Barrows to submit out taxes.
- Reviewed Previous Minutes
- There was an error noted in the day of the week the meeting was held. Minutes were corrected to reflect a meeting date of WEDNESDAY vs. TUESDAY.
- MOTION: Don Regnet motioned to approve the meeting minutes, Ken Kaleta seconded, motion passed.
Raffle Winner: Our raffle winner for the evening for the pumpkin was Jennifer Brown. CONGRATULATIONS JENNIFER! Thank you to JoAnne for supplying the pumpkin.
MOTION:by Cheryl Moore, seconded by Stacey Vantyne to adjourn meeting. Motion passed. Meeting adjourned at 6:57 p.m.

ANNOUNCEMENTS:
- JoAnne announced the winner from the Welcome Back Picnic. It was Zachary McDonald and he won a "Mom's Planner."
PRINCIPAL'S REPORT:
- Sue commented on the success of the Welcome Back Picnic. She estimated that between 450-500 people attended.
- PreK-3 will have their Open House night on Thursday 10/12/06 - 6:30 - 7:30 p.m.
- 4th - 5th grade students will have their Curriculum night on Thursday September 28th from 6:30 to 7:30 p.m.
- A new Librarian has been hired - Kate Hammill - she will be K-2nd. These grades will have a fixed schedule.
- Mrs. Cannon will be moving to 3-5th grades. Those grades will have a flex schedule.
MEMBERSHIP:
Vicky announced that we have just passed 100 for number of members. She also announced the winner of the Membership Raffle, which was Joyce vereckee - She won a $25 gift certificate to Barnes & Noble.
TREASURER'S REPORT:
- Ken passed out the 2006 - 2007 budget
- Reviewed the budget, we are currently starting with a positive balance of $11,000.00. Would like to leave some money for next year to be applied towards the early year activities i.e.., Bus Buddies, Agendas, and Welcome Back Picnic. Would like to see the budget reflect $4000.00 balance above the cost of the agendas.
- 2006 - 2007 budge approved - motion made by Michelle Brown and seconded by Kristine Harris.
TEACHER LIAISON REPORT:
Nancy Gross was not present at meeting but JoAnne Regnet explained the role of the teacher liaison.
COMMITTEE REPORTS:
- Fall Fundraisers
- Per Chris - all Brochures went out Tuesday and are due back to her by October 4th.
- SPIRIT SHIRT quotes are due next Friday - September 29th to her. There will be a variety of styles, sizes, and colors offered. She will be having fliers sent home regarding this.
- Picture Day - October 24th
- Amy Buchanan is no longer able to be the Picture Coordinator - Stacey Vantyne has volunteered to assume the position. YEAH STACEY!
- JoAnne spent some time describing the duties of the Picture Coordinator.
- We are still looking for volunteers to assist on Picture Day.
- At this time, the event will be held in one of the gyms.
- Fall Harvest - Date to be determined (either 10/20 or 10/27)
- We need volunteers for this, also need a Coordinator to keep track of the volunteers and to determine the activities that will be offered. Nicole Wenzler volunteered to be the coordinator. YEAH NICOLE!
- JoAnne briefly described what Fall Harvest day is/entails.
- Fliers will be sent out and information can also be found on the PTA Bulletin board.
- We all need to start SAVING JUGS for the apple cider.
- Bus Buddies
- Although this event has already occurred their was quite a bit of discussion around it.
- The following points were brought up: lack of bus drivers attending, conflicting info from the transportation company as to parents attending the event (transportation has an event at the mall), difficulty determining bus driver for children who take two different buses for am/p.m. routes.
NEW BUSINESS:
- Odyssey of the Mind
- Mr. Guffey is looking for coaches and volunteers. JoAnne described what Odyssey of the Mind is.
- Anyone interested in volunteering please contact Mr. Guffey.
- Horizon Fun FX
- Is providing an opportunity for LongRidge to benefit from a fund-raiser activity by having 1 night a month designated as LongRidge nights. If there are 100 participants on these nights - Horizon will donate $100.00 to Longridge School. Details of this will be sent out on fliers and on our web site once it is functioning.
- Boxtops for Education
- This is now a project of the fifth grades, Mrs. Ally will be helping to coordinate this.
- Campbell Soup Labels
- Is now being coordinated by one of the secretaries - PAT Traugott. YEAH PAT!
- Items of Discussion
- There was some significant discussion around current transportation issues with the lateness of buses dropping children off.
- Sue has indicated that part of the difficulty is the late registration of students. This year we had 50-70 students who registered within the last week prior to the start of school.
- Also our buses are being held up at their previous stops - the transportation companies are looking into this.
- Also the question was raised as to why the buses are being held up once they arrive at LongRidge - per Sue. This is a change of policy from last year so as to cut down on the number of students that were missing their buses. There are difficulties with the buses. Right now Longridge has 21 buses - only 4 arrive at 3:05, the rest roll in between then and 3:25 p.m.
- Changes are being made as to the route times - suggestion was made to check with individual bus drivers as to their anticipated arrival time at the stop, also to notify new families (to cut down on anxiety levels) that the first week of school the buses tend to run late.
Our Raffle Winner for the evening for the bag of apples was Cathy Westveer. CONGRATULATIONS CATHY!

LongRidge PTA Budget Meeting

MEMBERS PRESENT:

TOPICS of DISCUSSION:
1.) Review of Budget:
Reviewed line items within budget, made changes as needed in following budget items:
- Events - Welcome Back Picnic, Fall Harvest Festival, Kids On the Block, Pizza Bingo, 5th Grade Graduation Ceremony.
- Mini Grants - Agendas, Odyssey of the Mind, Lunchroom Activity Kits, Red Ribbon Week, Read Across America.
- Mini Grants to each Grade Level - amounts were re-estimated.
There were some line items that were eliminated i.e., Dolphin Costume, Volunteer Appreciation etc.
2.) Student Enrichment Activities
There was some discussion as to what constituted "Student Enchrichment", how these activities would be manifested within the budget, and how they would be implemented.
3.) Cultural Arts Proposal
Ms. Dorothy Petrie presented a request for funding l on behalf of the Cultural Arts committee.
As the request would be modified to reflect the guidelines of student enrichment - budget committee's recommendation was for amount of $1,500.00. Some proposed activities would be considered under other line items i.e., Read Across America
NEW INFORMATION
- Per Don - Utility Table ok'd for courtyard.
ACTION ITEMS
- Costs of Yearbooks and cost of memory cards need to be decided
- Christine will look into various yearbook options
- Christine also looking into T-shirt Costs
- Sue (?) looking into Guidelines on Food at events as to preparation, preparing, serving etc.
Re: Pizza Bingo - Joanne - will check out Apollo as possible location
- Sue - will check out capacity in the big gym, and possible concerns; re: the finish on floor.
- FLYERS will need to state in some manner - that activity is limited as to the number of people that may attend due to space limitations
- Joanne - will check with administration re: teacher activity calendar.
- Don/Joanne - will submit definition as to what does/does not constitute Student Enrichment as to how money can be disbursed - basically per Don - "does not allow money that allows the district to take money out of the classroom and use it elsewhere in some other areas. Re: Read Across America - Joanne - will look into obtaining hats for teachers and administrators as trademark characters are no longer available in costume stores
- Look at School's Mascot and possibly work on developing a closer affinity for it. Re: Cultural Arts Request - Sue will bring it up to SIT committee
- Ken - will modify budget to reflect changes and add in line reflection Enrichment Assemblies
- Look into Shade Trees for Courtyard
- Joanne /Jeremy - look into Book of Month highlighting Characterization Trait
UPCOMING EVENTS in SEPTEMBER
- Welcome Back Picnic - Friday September 15th
- 4th & 5th Grade Curriculum Night - Thursday September 28th.
